Every asset in your fleet costs money whether it’s out on rent or sitting in the yard. The challenge is putting that investment to work as often as possible.

That gets harder as you add equipment, locations and customers. Improving equipment utilization comes down to knowing what you have, where it is, what’s ready to rent and what could keep it from getting back out the door.

What is rental equipment utilization?

Rental equipment utilization measures how effectively your available assets are being used to generate revenue.

That doesn’t mean every asset should be rented every day. Equipment needs inspections, maintenance and repairs, and demand changes throughout the year. The important question is whether equipment is idle for a good reason, or because something in the business is getting in the way of the next rental.

That distinction becomes more important as your fleet grows.

Know what’s available across your locations

An asset being “available” doesn’t necessarily mean you can rent it to the next customer who calls.

It might be at another location. It may be coming back tomorrow. It could be due for service or already promised to another customer.

Your team needs to be able to answer those questions quickly. If that means checking spreadsheets, switching between systems or calling another branch, it’s easy for available equipment to be overlooked.

Modern equipment rental software gives teams a central view of equipment and availability across locations, making it easier to see whether existing assets can meet demand before adding more equipment.

Plan maintenance around demand

The goal is simple: to keep equipment safe and properly maintained without losing rental days that could have been planned around.

Maintenance takes equipment off rent, and there’s no getting around that challenge. What you can control is how much of that downtime catches you by surprise.

If servicing is managed separately from bookings and availability, a maintenance requirement can easily clash with an upcoming rental. Keeping those schedules connected makes it easier to see what needs attention before equipment is committed elsewhere.

Look for the gaps between rentals

Before adding equipment, look at what the fleet you already own is doing. Are the right assets in the right places? Is demand consistent enough to justify another purchase? Could existing equipment cover more rentals if it were deployed differently?

Those patterns can tell you more about your fleet than an overall utilization percentage.

A new asset may still be the right investment. But it shouldn’t be the automatic answer to an availability problem.

Remove the friction around each rental

Better equipment utilization isn't just a fleet manager's job.

Think about everything that must happen around an individual rental:

  • A customer requests equipment.
  • Your team checks availability and prepares the quote.
  • The quote becomes an order.
  • The equipment is prepared and sent to the customer.
  • When it comes back, it may need an inspection, maintenance or repairs.
  • Once it’s ready, it goes back to rent-ready.
  • The customer is invoiced.

Delays don’t only happen when equipment breaks down. They can happen anywhere between an inquiry and the equipment being ready for its next customer.

When those steps are managed in different places, it’s harder to keep track of the full rental from start to finish. Bringing them together in one system gives your team one place to manage the work, track what’s happening with each asset and keep the next step moving.

Don't look at utilization on its own

Two out of three rental companies polled report equipment utilization averages above 60%. A high utilization rate can look good on paper, but it doesn’t tell you whether an asset is genuinely delivering a good return.

Revenue, maintenance requirements, demand and the costs associated with owning and operating the equipment all matter. Utilization is one part of that bigger picture.

That’s why utilization is most useful alongside the rest of your equipment information. An asset that rents frequently but requires constant repairs tells a different story from one with similar utilization and much lower upkeep.

The same thinking applies when deciding what to buy next. Understanding what’s generating revenue, what costs you money and where demand is changing puts you in a much better position to make that call.

How can rental software improve equipment utilization?

Equipment rental software helps rental companies improve utilization by bringing equipment information, availability, maintenance and rental activity together. Instead of managing those areas separately, teams get a clearer picture of how equipment is being used and where action may be needed.

For a rental company with more equipment, more people and multiple locations, that matters. Your software shouldn’t make you hunt for answers that should already be in front of you.

Klipboard's OnRent Go is modern, cloud-native equipment rental software designed to bring key rental processes together, helping rental businesses manage their equipment and operations from one place.

Your equipment is already one of your biggest investments. Make sure your software helps you get more from it.

If your team still relies on spreadsheets, workarounds or disconnected systems to figure out what’s available and what needs attention, it’s worth taking a closer look at what your software is actually doing for the business.
